How to Evaluate FBR Invoice Software and an Integration Provider

A due-diligence checklist covering official status, workflow fit, security, testing, support, pricing and evidence before you choose a solution.

The best invoicing solution is not the one with the longest feature list. It is the one that fits your transactions, protects access, produces traceable records and has a clearly defined integration and support arrangement.

Verify identity and official status

Confirm the legal business name, contact details, contract party and the people responsible for delivery. If a provider claims to be an FBR-licensed integrator, verify that claim against the current FBR list of licensed integrators. Do not rely on a logo, social-media post or verbal statement.

FBR’s FAQs state that notified registered persons integrate their POS, ERP or invoicing system through a licensed integrator and also describe PRAL’s role under the rules. Obtain advice on the arrangement applicable to your business.

Demonstrate your real workflow

Ask for a demo using representative cases, not only a polished standard invoice. Include your buyer types, products, tax treatments, discounts, multiple line items, branches, approvals and common exceptions.

The provider should explain where each field originates, what is validated, what is submitted, how responses are stored and what a user does after rejection.

Assess data governance and security

Ask how users are authenticated, roles are separated, production credentials are stored, changes are logged, backups are tested and sensitive data is retained. Confirm whether your information is shared with subcontractors or hosted outside an agreed environment.

Never submit API tokens or passwords through a public contact form. Establish an approved secure credential exchange and revocation process.

Examine integration quality

For ERP, POS or accounting integration, request a written field mapping and architecture. Confirm queueing, retries, duplicate prevention, environment separation, monitoring and reconciliation. Ask how API or reference-data changes will be tested and released.

For Excel import, review template controls, duplicate detection, approval, result export and file retention.

Define support precisely

“Support included” is incomplete. Document service hours, response targets, channels, named responsibilities, escalation, training, bug fixes, regulatory updates and work that costs extra. Clarify whether support covers software use, data correction, integration troubleshooting or tax interpretation—these are different services.

Compare the complete commercial offer

Review setup fees, subscription period, invoice allowance, additional invoice charges, user or company limits, storage, integrations, renewal, taxes, cancellation and data export. Request a written quotation and contract; do not base a decision on an illustrative price alone.

Require evidence before acceptance

Agree on test cases and acceptance criteria. Retain sandbox results, user sign-off, security decisions, unresolved limitations and a production-readiness checklist. Confirm that your business can export its invoices and response history in a usable format.

Questions worth asking

  • What exact entity provides the software and integration?
  • Is any licensed-integrator claim verifiable on FBR’s current list?
  • Which scenarios have been tested for our business?
  • How are credentials, logs and backups protected?
  • How are rejected and uncertain submissions handled?
  • Can we reconcile every source invoice to a response?
  • What data can we export if the service ends?
  • Which responsibilities remain with our business and tax adviser?

This checklist helps evaluate operational fit; it does not endorse a provider or replace legal, tax, security or procurement review.

An independent commercial software solution. Not an official FBR or government website.
