Records and reconciliation
FBR Invoice Recordkeeping, Reconciliation and Audit Trail Checklist

Keep three layers of evidence
Retain the source sale or accounting entry, the exact structured invoice data transmitted and the complete response received. Add the printable invoice issued to the customer. These records answer different questions: what the business recorded, what was submitted, what the external service returned and what the customer received.
Use permanent references and timestamps
Assign an immutable internal invoice reference before submission. Record creation, validation, submission, response and correction times with the responsible user or system. Preserve failed attempts and error messages. Do not delete history when a record is corrected or accepted later.
Reconcile daily and monthly
Daily controls should compare issued sales with submitted, accepted, rejected and pending invoices. Monthly controls should reconcile invoice values and tax totals to sales ledgers and the applicable return process. FBR's public sales-tax records guidance identifies description, quantity, value, customer details and tax charged as core sales records.
Protect records without hiding them
Restrict credentials and editing privileges, encrypt sensitive backups and test restoration. At the same time, give authorised finance staff readable status and export tools. Security that prevents legitimate review creates spreadsheet workarounds and weakens the audit trail.
Create an exception pack
For every old pending, rejected, cancelled or corrected invoice, retain the reason, owner, evidence, approval and final outcome. Review exception trends by branch, product, buyer and error code. This turns recordkeeping from passive storage into a control that improves data quality.
