Troubleshooting

Common FBR Digital Invoice Validation Errors and How to Fix Them

A systematic way to diagnose invoice-level, item-level, reference-data, authentication and retry problems without creating duplicate records.

An error message is the start of an investigation, not an instruction to keep pressing Submit. The fastest teams classify the failure, preserve evidence, correct the source and retry under a controlled process.

First identify the failure layer

Separate four categories:

  1. Transport: timeout, connection or unavailable service.
  2. Authentication: missing, expired or inappropriate token.
  3. Invoice-level validation: seller, buyer, date, invoice type or other header problem.
  4. Item-level validation: HS code, UOM, rate, quantity, value, sale type or conditional field.

This prevents a finance user from changing invoice data to solve a network problem, or an IT user from retrying a payload whose tax data is wrong.

Read the complete response

Store HTTP status, response timestamp, overall status, error code, readable message and every item status. The public technical specification shows that an overall response and individual line results can carry different detail. A response may point to a specific item even when the rest of the document is usable.

Link the evidence to your internal invoice reference. Never rely only on a screenshot or transient popup.

Resolve frequent data issues

Identification and registration: verify the seller registration used, buyer identifier, buyer registration type and relevant date. Do not add invented digits or change a buyer type to bypass validation.

HS code, UOM and rate: confirm the combination against current reference data and the actual product. Correct the product master first so the error does not recur on the next invoice.

Values and tax amounts: reconcile quantity, value excluding sales tax, discount, applicable tax and total. Apply one documented rounding policy across source and invoice systems.

Conditional fields: some sale types or rates require related SRO information or other values. A blank field may be correct in one scenario and invalid in another.

Retry without duplication

Before retrying, determine whether the original request was rejected, never reached the service, or may have been accepted despite a lost response. Use a stable internal reference and retain every attempt. Automatic retries should be limited, logged and designed with an idempotency or duplicate-check strategy appropriate to the available interface.

Do not turn every server error into an immediate loop. Queue the record, alert the responsible team and preserve the original payload securely.

Build an error knowledge base

Record the error category, confirmed cause, correction, owner and date. Review recurring patterns monthly. If many invoices fail for the same product, fix master data; if many users select the wrong buyer type, improve the interface; if timeouts dominate, review integration resilience.

Use the current FBR technical documentation for official error definitions. Never share security tokens or complete sensitive payloads in public support channels.

An independent commercial software solution. Not an official FBR or government website.
